Bookings & inclusions
Your booking
These terms apply to tours operated by Hike & Seek Australia Pty Ltd, trading as Hike & Seek (ABN 46 692 277 099). Please read them, the details of your selected tour and the participant waiver before completing your booking.
Check your booking confirmation carefully and contact us promptly if any details are incorrect. The tour description and confirmation set out your departure time, pickup arrangements, price and inclusions.
Meals, drinks, attraction tickets, tastings and optional activities are included only where stated in your booking. Private-tour inclusions and any agreed itinerary changes will be confirmed before booking.
If you book through a third-party provider, review the terms shown by that provider before payment. Changes and refunds may need to be processed through the original provider. Nothing in these terms removes rights that cannot lawfully be excluded.
Cancellations & changes
If your plans change
For public tours, you may cancel at least 24 hours before the scheduled departure time for a full refund of the tour fare paid. Cancellations received less than 24 hours before departure are non-refundable, except where a refund is required by law.
For private tours, you may cancel at least 14 days before the scheduled departure time for a full refund of the tour fare paid. Cancellations received less than 14 days before departure are non-refundable, except where a refund is required by law.
Cancellation deadlines are measured from the scheduled departure time in Melbourne local time. Fourteen days means 14 full periods of 24 hours. Please send cancellation requests in writing through our contact page or by replying to your booking confirmation, and include your booking reference.
We do not charge an administrative fee for booking changes. Date changes are subject to availability. If the replacement tour has a different price, we will explain the price difference before you agree to the change.
Requests to reschedule within the applicable cancellation period are considered individually and are not guaranteed. A request to change your booking does not itself cancel or move the original departure.
If you wish to transfer your booking to another person, contact us before departure. The replacement guest must meet the tour’s participation requirements and complete the required waiver. Any attraction ticket restrictions will be checked before we confirm the transfer.
Changes by Hike & Seek
Minimum numbers, itinerary changes and cancellations
Public tours require a minimum of 4 guests to operate. This minimum does not apply to a confirmed private tour. If a public departure does not reach the minimum, we will contact you as soon as practical. We aim to provide at least 12 hours’ notice, although unexpected circumstances may prevent this.
We may need to change routes, stops, timing or vehicles because of weather, traffic, mechanical problems, road or park closures, attraction availability or safety concerns. We will explain changes as soon as practical and seek a suitable alternative where possible.
If we cancel your tour, you may choose an available alternative date or a full refund of the tour fare paid. You do not have to accept a credit instead of a refund.
If we need to make a significant change to your booked experience, we will discuss the available options with you. Your rights under Australian Consumer Law continue to apply.
Pickup & return
Meeting your guide
Our usual public-tour meeting point is the NGV taxi rank at 180 St Kilda Road, Melbourne. Your booking confirmation provides the departure time and meeting instructions.
Private tours include hotel pickup in Melbourne CBD and at accommodation within approximately 5 km by road of the CBD, subject to confirmation of your address before booking. Outside this area, the usual meeting point is 180 St Kilda Road unless another arrangement has been agreed.
Please be ready at least 10 minutes before your confirmed departure time. If you are running late, contact us immediately using the details in your booking confirmation. We cannot guarantee that the group will be able to wait.
If you miss the departure or do not attend, the booking is treated as a no-show and is non-refundable, except where required by law.
Return times are estimates and may change with traffic, weather and the itinerary. Phillip Island departure and return times vary seasonally around sunset. Tell us before booking if you have a flight, cruise or another time-sensitive connection.
Luggage & access
What you can bring
Please bring a small day pack containing what you need for the tour. We have limited space for additional luggage, so contact us before booking with the size and number of bags you would like to bring. We will confirm whether we can accommodate them on your departure.
Additional luggage must be arranged with us in advance. Space depends on the vehicle and number of guests, so we cannot guarantee storage for bags that have not been approved beforehand.
If you use a mobility aid or need to bring other equipment, contact us before booking. We will discuss the vehicle, storage space, walking routes and any suitable arrangements.
Keep your personal belongings with you and check the vehicle before leaving. Tell your guide promptly if you believe you have left something behind.
Children & seatbelts
Travelling with children
Children may join only if they can safely and lawfully travel using the vehicle’s fitted seatbelt without a child car seat or booster seat, and can manage the chosen itinerary. We do not provide child car seats or booster seats.
Please contact us before booking for a child and provide their age and height. We will confirm suitability for the vehicle and tour. Age alone does not establish that an adult seatbelt fits safely.
All guests under 18 must be accompanied by a responsible adult. That adult is responsible for supervising children throughout the tour.
Every passenger must use their own seat and wear the fitted seatbelt correctly whenever the vehicle is moving.
Fitness & safety
Choosing a suitable adventure
Read the walking distance, difficulty and terrain described on your chosen tour before booking. Walks may include uneven tracks, hills, steps, sand and exposed coastal areas.
Contact us before booking if an injury, health condition, access requirement or other concern may affect your ability to participate. We can discuss the demands of the tour and whether suitable arrangements are available.
Bring appropriate footwear, water, weather protection and any personal medication you need. Follow your guide’s reasonable safety instructions and any directions given by park or attraction staff.
Your guide may change an activity or restrict participation where reasonably necessary for safety. We will discuss the circumstances and available options with you. Any refund entitlement will be assessed under the booking terms and applicable law.
We recommend considering travel insurance appropriate to your trip and planned activities. Check the policy’s coverage, exclusions and cancellation provisions.
Participant waiver
Read the waiver before booking
Participation in our tours requires completion of a participant waiver before the tour begins, including before boarding the vehicle. The waiver addresses the risks of the activities and may affect your legal rights.
Please read the full waiver before paying for your tour. If it has not been provided or you cannot access it, contact us for a copy before completing your booking. Do not wait until the day of departure to raise questions about its terms.
Each adult participant must complete their own waiver. For guests under 18, contact us before booking to confirm the required parent or guardian documentation.
Outdoor activities involve risks, including uneven or slippery surfaces, changing weather, wildlife and physical exertion. Your guide will provide relevant safety instructions, but these activities cannot be made entirely risk-free.
This page is not a substitute for the participant waiver. Nothing in these terms excludes, restricts or modifies any right, guarantee or remedy that cannot lawfully be excluded, restricted or modified.
Photography
Photos and filming
You are welcome to photograph scenery and wildlife where permitted. Follow your guide’s directions, keep a respectful distance from wildlife and comply with attraction-specific photography restrictions.
We may take photographs or video during a tour. Please tell your guide if you do not wish to be photographed. We will seek permission before using identifiable images of you for our promotional material.
For children, permission for promotional use must come from a parent or legal guardian. If you would like us to remove an image we control, contact us with enough detail to identify it.
